Administrative Assistant

 
 

The following are duties of the Administrative Assistant of Calvary Reformed Church...

 

Staff Support 

As Administrative Assistant, it is the primary responsibility to support the work of the ministry staff.  

  •   To assist staff in supportive roles, such as copying, faxing, mailing, stapling, and other duties as assigned by the ministry staff.
  •   To manage work flow so that things are done in a timely fashion.
  •   To determine priority of work flow in conjunction with the Senior Pastor.
  •   Filing, record keeping, receipt tracking, research, supply ordering and other duties as assigned.

 

Calendar

As Administrative Assistant, it is the primary responsibility to maintain the church calendar and the scheduling of room use.

  •   Maintain the building use calendar using Scheduler program, see that all forms are filled out and copies are made for all appropriate staff.
  •   Maintain the Senior Pastor and Pastor of Outreach Calendars.
  •   Maintain the Baptismal calendar and forms.
  •   Pass all building use forms around to staff for approval.
  • Assist persons wishing to schedule weddings and provide wedding packets of information.
  •   Print monthly calendars each week for the Monday staff meetings.
  • Print weekly building use calendars for Grounds Supervisor and Custodial staff.
  •   include weekly calendar of events are printed in the bulletin.

 

 

Print Publications

As Administrative Assistant it is the primary responsibility to see that all print publications from Calvary Church are done in a timely and professional manor.

  •   See that the monthly newsletter is produced according to the pre-determined publication schedule.
  •   See that volunteers are scheduled to come fold and assemble the newsletter.
  •   See that postage, mailing labels, etc are ready and the finished monthly newsletter makes it to the post office by the 27th of each month.
  •   Attention should be given to creative layout and design, punctuation, grammar and spelling.
  •   See that the weekly bulletin is produced by Thursday of each week.
  •   Scheduling of volunteers to assemble bulletin.
  •   Printing of all bulletin inserts.
  •   Attention should be given to creative layout and design, punctuation, grammar and spelling.
  •   See that all letters, post card reminders, visitor letters and communications with the congregation and public at large are done with attention to design, punctuation, grammar and spelling.
  •   Produce church brochures that provide critical church information as directed by the ministry staff.
  • Print out weekly children’s bulletins.
  • Print out weekly prayer lists, including email prayer list.

 

 

Computers

As Administrative Assistant computer work and filing will be a primary responsibility.

  •   Proficient to expert skills in the following software is the expectation:  Microsoft Word, Excel, Power Point, Outlook, Publisher.  In addition to the Microsoft suite of software, proficient to expert skills at Scheduler [Building Use Calendar] and Logos [Membership data base] is expected.
  •   Keep accurate records for our membership data base.
  •   Keep electronic files organized in a manor that will best facilitate finding the information when needed.
  •   Update and maintain the public information pages of our web site.  Ministry areas as assigned by ministry staff.
  •   Meter reading on the copiers and reporting to the lease company.
  • Reindexing of the data base each month.

 

 

This is a part time position over 28 hours over a four day work week, Monday through Thursday.

 

The above assigned duties are shared over a 28 hour position and a 20 hour a week additional position.
